By the end of this learning unit, you will understand how efficient teams work, how we can measure this efficiency with the help of key performance indicators and how to run a self-assessment.

Content: 

As it’s very important that a team works toward one common goal, sooner or later, we are going to have to ask ourselves the question: does the team work effectively? Team progress should be measurable and, ultimately, the team should achieve the goals set. In order to find out whether a team works efficiently or not, we need suitable methods which should answer the following questions:

Naturally, only the team leader can know the answer to these questions and come to their own conclusion. However, it usually boils down to several factors. 

Practically speaking, types of performance indicators are used which should provide an objective representation of the team’s productivity. These are called Key Performance Indicators (KPIs).

DEFINITION: Key Performance Indicators (KPI’s): Indicators which represent the level of productivity with which a task or activity is completed within a company. KPIs can refer to individual employees, teams or the company as a whole. 

With the help of KPIs, we are able to understand what progress has been made towards the goals set and can identify areas which need optimising. Different KPIs are needed for different companies or activities.

KPIs in Sales:
Turnover generated by new customers, online sales turnover, increase in the market share 

KPIs in Marketing: How well known is the brand? How many newsletter subscribers do we have? How many followers do we have on Twitter, for example?

Whilst quantitative indicators (e.g. amount of turnover, market share) are relatively easy to measure, qualitative indicators (e.g. satisfaction, level of involvement) are more difficult to measure. These are often measured using a survey. A classic example of this is the annual employee survey which is done in lots of companies in order to measure employee satisfaction. 

 

In order to measure team efficiency, self-assessment within the team is sensible. Achievements should also be quantified (with the help of defined KPIs). These can be illustrated with the help of graphs, notes etc. Furthermore, questions should be formulated which allow the team leader to evaluate how efficient the team is. It’s important that self-assessment takes place regularly so that it’s clear how the team is developing. 

 

EXAMPLE: A team’s assessment survey could ask team members, for example, whether they feel like part of the team, do they feel encouraged, do they feel that they can express their opinion openly and honestly and do they feel responsible for sticking to the team rules.

TOP TIP: Before the team leader performs a self-assessment with the team, he or she should explain to the team members what the exercise is for and how it is going to be carried out. The assessment should really be done anonymously. That way, the team leader can ensure that the team members have answered honestly.
